So you already used the Gravity Forms + Custom Post Types add-on above, but there are lots of add-ons that come with Gravity Forms, although you’ll have to upgrade your license to use them. These add-ons will allow you to connect apps so they work together and complete tasks in the background so that you don’t have to manually export data and move it. It will also communicate with your clients and employees automatically to send follow ups, reminders, instructions and email marketing campaigns.
Gravity Forms Dropbox Add-On
Integrates Gravity Forms with Dropbox, enabling end users to upload files to your Dropbox through Gravity Forms.
If you create a file upload field with Gravity Forms, you can have the files go directly to Dropbox. You know how much I hate hunting down stock photos, logos and documents in email chains? So much. This gets rid of that.
Gravity Forms FreshBooks Add-On
Integrates Gravity Forms with FreshBooks allowing form submissions to be automatically sent to your FreshBooks account, creating clients, invoices and estimates.
I have set up a way to create invoices and estimates in my system, but I still think Freshbooks is way better because it creates reports for my accountant, so I’ve abandoned my way, at least for now. At tax time Freshbooks makes the process a lot smoother but you could create these reports in WordPress if you’re savvy enough. Highly recommended and with this add-on you can push your data to Freshbooks so accounting is practically painless.
Gravity Forms Email Marketing Add-On
Integrates Gravity Forms with various email marketing providers allowing form submissions to be automatically sent to your marketing lists.
MailChimp is my favorite but there are add-ons for Active Campaign, AWeber, Campaign Monitor, Emma and some other email providers. Basically you can set it up so that new clients are added to a client list so you can send them updates. Or if you have a form set up for quotes or inquiries, you can create a separate list for prospects and update it automatically with this add-on.
Gravity Forms Twilio Add-On
Integrates Gravity Forms with Twilio so you can send SMS text messages to your employees or customers.
If you find that your clients respond better and more quickly to text messages than they do to emails, you can set up Twilio to send SMS notifications when a form is submitted. You can also send a text to an employee in the field who may not check their email frequently.
Gravity Forms Signature Add-On
Creates a Gravity Forms signature field that allows users to sign online using a mouse or stylus.
I always assume that everyone has a scanner, until I ask them to sign a contract and scan it back and it takes them like two weeks. I guess everyone could get to one if they had too, but if they could just sign on their screen with their mouse or with their finger on their tablet, that would be way easier. This will do that for you and keep all the signatures filed away if you need them.
Gravity Forms Stripe, Paypal and Authorize.net Add-On
Allows you to collect credit card payments.
If you need to process payments on your site, you can create an order form with Gravity Forms and the Add-on for your payment provider. You will have to spring for that SSL certificate and a dedicated IP though. The process isn’t all that difficult, but I think going the Freshbooks way is easier. Take note that there’s three different add-ons for PayPal so make sure you choose the correct one.
Gravity Forms CRM Add-On
If you will be using multiple systems together, this can be a way to pass data back and forth to the department that needs it. You can also use this while you are transitioning to a new system. You can pass the data to both so you have some data in your new system when you switch over.
Gravity Forms Employee Communication Add-On
When a new client is entered, or there is a new employee for IT to set up or a project is updated, you can use this add-on to notify a team of employees. This is more effective for recurring tasks where someone who needs to know is often left out of the email chain.
Find out what your employees and customers really want and organize the data in a way that is easy to analyze.
You can send marketing surveys, exit interviews, or ask your clients to rate their service at the end of a project to find out how you did.
Gravity Forms Zapier Add-on
Integrates Gravity Forms with Zapier allowing form submissions to be automatically sent to your configured Zaps.
Now if you’re thinking, ok these add-ons are great but I use some other totally awesome tool that I can’t live without. If that’s the case, then Zapier is going to be your best friend. It will connect hundreds of apps and I bet the one you want is somewhere in there or on their list for development. If you’re going to have a webform on your site, but host your system on a different WordPress install, then this will help you connect the two forms. If you want all you clients to go to a Google Spreadsheet, you can use Zapier. The possibilities are endless.
